Listing Coordination
The Listing Coordinator's main responsibility is to collect and process new listing information. While the job duties will vary, as the company's needs change, the key job duties and responsibilities include entering new listings, changes, photos and open house information on the MLS and Teles websites.
Files are kept on the house server and Transaction Point website. It is the listing coordinator's responsibility to upload and maintain files in both locations. Any leases will automatically be posted to craigslist.org and westsiderentals.com unless otherwise instructed by the agent.
They are also responsible for placing sign install/remove/fix orders for properties at each office. At the end of the day, the listing coordinator sends a daily activity email for both offices as well as a weekly activity email every Friday. The aged listing report is then updated to reflect the activity for that day. All blogs that go on Teles Talk must be sent to the listing coordinator to tag and then post.
The position also includes various administrative responsibilities such as business card scanning, roster management, maintenance of public office spaces, ordering and stocking supplies, and creating welcome baskets and ordering flowers for new agents.
The listing coordinator is also available to help set up and schedule meetings in the conference room. Each month, they schedule the floor time calendar, Teleswatch, for each office and send it to marketing for branding. Finally, the coordinator assists the research department with expired listing queries and any other projects they need help with.
